What personal information do we process? When you visit, use, or navigate our Services, we may process personal information depending on how you interact with us and the Services, the choices you make, and the products and features you use. This includes contact information (name, email, phone), pet records (for example, pet name, breed, weight, photos, and vaccine records), check-in and attendance records, membership and payment information, and — when you call a phone number answered by our AI voice agent — audio recordings and transcripts of the call.

We process this information only to provide the Services, and we do not use it for purposes such as training publicly available AI models or advertising.
Do we collect any information from third parties? We may receive information from the pet care business you interact with (for example, existing pet or owner records a business imports when they begin using the Services, or vaccine records provided by a veterinarian or uploaded by the business on your behalf).
How do we process your information? We process your information to provide, improve, and administer our Services — including answering phone calls, managing memberships and reservations, processing check-ins, verifying vaccine records, processing payments, and communicating with you — as well as for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent. We process your information only when we have a valid legal reason to do so.
In what situations and with which parties do we share personal information? We share information with the pet care business you are a customer of, with service providers who help us deliver the Services (including payment, voice AI, document processing, and hosting providers), and in specific legal situations.
How do we keep your information safe? We have adequate organizational and technical processes and procedures in place to protect your personal information. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.
What are your rights? Depending on where you are located geographically, the applicable privacy law may mean you have certain rights regarding your personal information.
How do you exercise your rights? The easiest way to exercise your rights is by visiting app.usetato.com, or by contacting us. We will consider and act upon any request in accordance with applicable data protection laws.
1. What information do we collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us directly, and information generated when you use the Services (including call audio processed by our AI voice agent).
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services (including calling a phone number answered by our AI voice agent, using a customer portal or self-service kiosk at a Tato-powered business, or providing records to a business that uses the Services), or otherwise when you contact us.
Personal information provided by you. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
Contact information — name, email address, phone number, and, where applicable, mailing address.
Pet information — pet name, breed, weight, age, sex, photos, behavioral notes, and similar records about the pets you own or care for.
Vaccine and health records — documents you or a third party (such as a veterinarian or business) upload or provide on your behalf, which we process (including through automated document recognition) to verify vaccine status and eligibility for services.
Reservation, attendance, and check-in records — bookings, check-in and check-out times, services used, and related activity at a Tato-powered business.
Membership and purchase information — subscription plans, package balances, passes, and transaction history.
Payment information — payment card and billing information, which is collected and processed by our payment processor (Stripe) on our behalf. We do not store full payment card numbers on our own systems.
Account credentials — usernames, passwords, and similar authentication information.
Communications — the content of emails, text messages, support tickets, form submissions, and other communications you send us.
Information automatically generated when you use the Services.
Call audio and transcripts — when you call a phone number that is answered by our AI voice agent on behalf of a business, we and our service providers record and transcribe the call in order to respond to you, fulfill your request (for example, answering questions, taking a reservation, or transferring you to staff), and improve the Services.
Device and usage data — IP address, browser and device type, operating system, referring/exit pages, pages viewed, and similar log data generated as you use our websites and applications.
Sensitive information. We do not intentionally process "special" or "sensitive" categories of information such as racial or ethnic origin, religious beliefs, sexual orientation, or precise health conditions. Because our AI voice agent records and transcribes phone calls, however, those recordings may contain voice data and information you choose to share, which may be classified as biometric or sensitive information under certain US state laws (for example, California, Illinois, and Florida). We process this information only as necessary to provide the Services. We do not sell this information, and we do not use it to train publicly available (third-party) AI models.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information we receive from third parties
We may receive personal information about you from third parties, including:
The pet care business you interact with. When a business begins using the Services, it may import existing records about its customers and their pets (for example, names, contact details, pet profiles, vaccine records, and historical reservations). When you are a customer of that business, those records may be associated with your profile in the Services.
Veterinarians and other record holders. Vaccine or health records may be provided to us by veterinarians or by the business on your behalf.
Service providers. Our service providers (including payment, voice AI, and document recognition providers) may provide us with information (such as transaction results, call transcripts, or document extraction output) generated through their processing of your information on our behalf.
2. How do we process your information?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
To create and manage user accounts. We process your information so you can create and log in to your account, including authenticating you and keeping your account in working order.
To answer phone calls and respond to inquiries via our AI voice agent. We process call audio, transcripts, and related information to understand your request, answer questions, take reservations, transfer calls to staff, and otherwise respond to you on behalf of the business you are calling.
To manage reservations, check-ins, and attendance. We process your information to create and manage bookings, to operate self-service kiosks, and to record arrivals, departures, and services used at the business you are visiting.
To verify vaccine records and eligibility. We process vaccine and health records, including through automated document recognition, to determine whether a pet meets a business's eligibility requirements for services.
To process memberships, packages, and payments. We use payment and transaction information to manage your subscriptions, process purchases and refunds, and keep billing records.
To communicate with you. We may send service-related messages (for example, reservation confirmations, receipts, and security alerts) and, where permitted, marketing communications you can opt out of at any time.
To improve, maintain, and secure the Services. We use information about how the Services are used to debug, improve reliability and accuracy, detect abuse, and prevent fraud. Where we use information to improve the accuracy of our AI models (for example, our voice agent), we do so only for the purpose of delivering the Services and not to train publicly available third-party AI models.
To comply with law and enforce our terms. We may process your information to comply with legal obligations, respond to lawful requests, and enforce our legal terms.
3. When and with whom do we share your personal information?
In Short: We share information with the pet care business you interact with, with service providers who help us deliver the Services on our behalf, and in specific legal situations described below.
We may share your personal information in the following situations:
With the pet care business you interact with. Many of our Services are provided to you through a business that uses Tato to operate its own business (for example, the dog bar, daycare, boarding facility, or grooming provider you are a customer of). Information collected in connection with that business — including your contact details, pet records, vaccine records, reservations, check-ins, payments, and the content of phone calls answered by our AI voice agent on that business's behalf — is shared with, and made available to, that business. That business is responsible for its own use of your information, which may be subject to its own privacy practices.
With service providers who process information on our behalf. We share information with vendors, consultants, and other service providers who need access to such information to perform services for us under appropriate contractual safeguards. These currently include:
Payment processing: Stripe.
Voice AI, speech-to-text, and text-to-speech: Vapi, Deepgram, OpenAI, and Cartesia.
Document recognition (vaccine record processing): Google Cloud (including Google Document AI).
Database, authentication, and hosting infrastructure: Supabase and our cloud hosting providers.
Product analytics, error monitoring, and customer communications: providers we engage to operate, monitor, and support the Services.
To comply with law or protect rights. We may disclose information if we believe in good faith that doing so is required by law, legal process, or governmental request, or is necessary to protect our rights, property, or safety, or the rights, property, or safety of our users or others.
Business transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
With your consent. We may share your information for other purposes when you direct us to or otherwise provide your consent.
We do not sell your personal information, and we do not share it with third parties for their own independent marketing or advertising purposes.
4. Do we use cookies and other tracking technologies?
In Short: We do not use cookies or similar tracking technologies on our Services at this time.
We do not currently use cookies, web beacons, pixels, or similar tracking technologies on our Services. We do not use third-party advertising, marketing, or cross-site tracking technologies.
If we begin using cookies or similar technologies in the future, we will update this Privacy Notice (and, where required by applicable law, provide you with notice and an opportunity to consent) before doing so.
Please note that when you make a payment, our payment processor, Stripe, may use its own cookies and similar technologies on its own domains to process the transaction and prevent fraud. Stripe's use of such technologies is governed by Stripe's own privacy and cookie practices.
5. Do we offer artificial intelligence-based products?
In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.
As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.
Use of AI technologies
We provide the AI Products through third-party service providers ("AI Service Providers"), including Vapi, Deepgram, OpenAI, Cartesia, and Google Cloud (including Google Document AI). As outlined in this Privacy Notice, your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.
Our AI products
Our AI Products are designed for the following functions:
AI voice agent. An AI-powered phone agent that answers incoming calls on behalf of a business, understands the caller's request, and responds conversationally — for example, by answering questions, taking reservations, or transferring the caller to on-site staff.
Speech-to-text and text-to-speech. Automated transcription of caller audio and synthesis of spoken responses.
Vaccine and document recognition. Automated extraction of information from vaccine records and similar documents uploaded to the Services, to support eligibility verification.
Operational and product intelligence. AI-powered features that help businesses operate more effectively (for example, summarization of calls and customer interactions, and routing of inquiries).
How we process your data using AI
All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreement with third parties. This ensures high security and safeguards your personal information throughout the process, giving you peace of mind about your data's safety.
6. How long do we keep your information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
7. How do we keep your information safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
8. Do we collect information from minors?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 9. What are your privacy rights?
In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
Withdrawing your consent
If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us using the contact details provided at the bottom of this Privacy Notice.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Account information
If you would at any time like to review or change the information in your account or terminate your account, you can contact us using the contact information provided.
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

10. Controls for do-not-track features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.
11. Do United States residents have specific privacy rights?
In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law. Will your information be shared with anyone else?
We may disclose your personal information with our service providers pursuant to a written contract between us and each service provider. See the section "When and with whom do we share your personal information?" above for more.
We may use your personal information for our own business purposes, such as for undertaking internal research for technological development and demonstration. This is not considered to be "selling" of your personal information.
We have not sold personal information to third parties, and we have not shared personal information with third parties for cross-context behavioral advertising, in the preceding twelve (12) months. We do disclose personal information to our service providers and to the pet care business you interact with, in each case for business purposes and subject to appropriate contractual safeguards. We do not intend to sell personal information or share it for cross-context behavioral advertising in the future.
Your rights
You have rights under certain US state data protection laws. However, these rights are not absolute, and in certain cases, we may decline your request as permitted by law. These rights include:

We will honor your opt-out preferences if you enact the Global Privacy Control (GPC) opt-out signal on your browser.
Under certain US state data protection laws, you can designate an authorized agent to make a request on your behalf. We may deny a request from an authorized agent that does not submit proof that they have been validly authorized to act on your behalf in accordance with applicable laws.
Request verification
Upon receiving your request, we will need to verify your identity to determine you are the same person about whom we have the information in our system. We will only use personal information provided in your request to verify your identity or authority to make the request. However, if we cannot verify your identity from the information already maintained by us, we may request that you provide additional information for the purposes of verifying your identity and for security or fraud-prevention purposes.
If you submit the request through an authorized agent, we may need to collect additional information to verify your identity before processing your request and the agent will need to provide a written and signed permission from you to submit such request on your behalf.
Appeals
Under certain US state data protection laws, if we decline to take action regarding your request, you may appeal our decision by emailing us at hello@usetato.com. We will inform you in writing of any action taken or not taken in response to the appeal, including a written explanation of the reasons for the decisions. If your appeal is denied, you may submit a complaint to your state attorney general.
California "Shine The Light" law
California Civil Code Section 1798.83, also known as the "Shine The Light" law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. If you are a California resident and would like to make such a request, please submit your request in writing to us using the contact details below.
12. Do we make updates to this notice?
In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Last updated" date at the top of this Privacy Notice.
